Built for dance studios

Dance studio management software for registration, tuition, and recitals

Whether you run a competition team, a recreational program, or both, Pathfinder gives your studio one place to handle class registration, collect monthly tuition or one-time recital and costume fees, manage waivers, and publish a real website — without spreadsheets or chasing down Venmo payments every month.

Who it's for

Built for how dance studios actually bill

Dance studios juggle enrollment across multiple class levels and styles, seasonal recital and costume fees, and — for most studios — monthly tuition that has to be billed and tracked like clockwork every single month. Whether you're a single-owner studio or a multi-location academy, that's a lot to run out of a notebook and a group text.

It works the same whether you run year-round monthly classes, a summer intensive with a flat one-time fee, or both at once — each class or session is its own program, billed however it actually gets billed.

What you get

Everything your studio needs, in one platform

Every part of running a studio — the public-facing side and the back-office side — lives in the same system, so nothing has to be entered twice.

A branded website on your own domain

Publish a professional site for your studio with your colors, logo, class schedule, and news — on a custom domain with automatic DNS verification and HTTPS, no separate web host required.

One-time fees or monthly tuition — your choice

Charge a flat one-time fee for a workshop, recital, or costume order, or turn on recurring monthly billing for ongoing class tuition. Families are billed automatically every month until you cancel it.

Online registration & digital waivers

Collect student and guardian information, medical notes, and allergies through a guided registration flow. Liability waivers are versioned and e-signed, with every signature time-stamped and tied to the exact wording the signer agreed to.

Payments and payouts through Stripe

Tuition, recital fees, and merch orders are collected through your studio's own connected Stripe account. Payouts land in your bank on Stripe's normal schedule — see every transaction, refund, and payout from your dashboard.

Class rosters and instructor access

Build rosters by class, level, and season, and scope instructor access so each instructor sees only their own class roster — not the whole studio.

A branded merch store

Sell dancewear, spirit gear, or recital merchandise directly from your public site, with a photo gallery for each item and guest checkout. Buyers get an automatic confirmation email once you mark an order fulfilled.

Why switch

Why studios are leaving spreadsheets behind

Chasing monthly tuition by hand

Cash, Venmo, and paper checks from dozens of families every single month makes knowing who's actually paid a part-time job. Turn on recurring monthly billing for a class and tuition is charged automatically through Stripe, every month, until you or the family cancel.

Recital and costume fees on a separate spreadsheet

One-time fees for costumes, recital tickets, or a competition entry don't need their own tracking system — they're just another program in the same dashboard, with the same registration and payment flow as your regular classes.

Class rosters that live in a binder

Build rosters by class, level, and season, and keep instructor access scoped so an instructor only sees their own class — not the whole studio's enrollment and payment history.

No real website, or one nobody can update

A Facebook page isn't a registration system, and a static site from years ago can't be touched without a developer. You can edit your class schedule, news, and sponsors yourself, any time.

How it works

Simple enough for a small team to run

01

Create your organization

An admin signs up, creates the organization, and claims the workspace — this takes a couple of minutes and just needs an email address.

02

Set up your programs and connect Stripe

Add your branding, connect a custom domain if you have one, create your classes or sessions with fees, and connect Stripe so you're ready to collect payments — one-time or recurring monthly.

03

Open registration and run the season

Publish your site, open registration, and manage the rest — rosters, payments, sponsors, staff, and news — from one dashboard.

Role-based access

Every staff member gets the right level of access

Not everyone needs to see everything. Roles are scoped so an instructor or coach only sees their own roster, a merch manager only sees the store, and whoever handles the books can manage payments without needing owner-level access to everything else.

Owner & association adminFull access to every part of the organization, including member roles and billing.
RegistrarManages registrations, participants, and rosters without needing owner-level access.
Treasurer & billing adminHandles payments, payouts, and the platform subscription.
Coach & assistant coachScoped to their own class or group's roster — no visibility into other rosters, payments, or org settings.
Merch managerManages the merch store — items, photos, and orders — without access to the rest of the dashboard.
ViewerRead-only access for staff who need visibility without the ability to make changes.
Questions

Frequently asked questions

What does Pathfinder Sports Management cost?

Pathfinder is $599 per year plus a one-time $299 onboarding fee. Payments carry a per-transaction processing fee (3.5% + $0.75 for one-time fees, or a flat 5% on recurring monthly billing), which you can choose to absorb or pass through to the payer for one-time fees. There's no cost to browse or set up your studio before you're ready to open registration.

Can we bill monthly tuition automatically?

Yes. Any class or program can be set to recurring monthly billing instead of a one-time fee — families are charged automatically every month through Stripe until the subscription is canceled, and you can see exactly who's current and who's past due from your dashboard.

Can we still charge a flat one-time fee for things like recitals or costumes?

Yes. One-time fees and recurring monthly tuition can both exist in the same studio — each class, workshop, or fee is its own program, and each one is independently set to bill however it actually gets billed.

Can we use our own domain name for our studio website?

Yes. Connect a domain you already own and Pathfinder verifies it via DNS and issues HTTPS automatically. If you don't have a domain yet, your site is still reachable on a Pathfinder subdomain.

Do you support digital liability waivers?

Yes. Waivers are versioned, so editing your waiver text later never rewrites what a guardian already signed — each signature is permanently tied to the exact wording they agreed to, along with a timestamp.

Can instructors have limited access?

Yes. Instructors and assistant instructors only see their own class roster — not other classes, payments, or studio settings. Owners and admins control who has which role.

Can we sell dancewear or recital merchandise through the platform?

Yes. Add items with photos and a price, and they're sold directly from your public site with guest checkout — no separate online store to manage. Buyers get an automatic email with tracking info once you mark an order fulfilled.
