How Much Does Camp Registration Software Cost?

The honest answer is that it depends on how the software charges. Most camp registration tools use some mix of three things: a subscription (yearly or monthly), a fee on each registration, and card processing. The number that matters is what those three add up to for your camp, based on how many kids you register and what you charge.

So instead of guessing at a single price, I'd work out your own total. It takes a pencil, last summer's numbers, and a few minutes.

The three pieces most camps pay for

When you look at a pricing page, you're usually looking at some combination of these:

  • A subscription. A flat yearly or monthly charge to use the software. Some tools charge more as you add programs, sessions, or staff logins. Others keep it flat.
  • A per-registration fee. A percentage of each payment, a flat amount per transaction, or both. This is where most of the cost lives for a busy camp.
  • Card processing. The charge for running a credit or debit card. Some tools include it in their fee. Others add it on top, so you pay the software's fee and then a separate processing fee.

There's sometimes a fourth piece: a one-time setup or onboarding fee. That can be worth it if someone actually helps you get running, but it's good to know what it pays for.

The one I'd look at closest is card processing. Two tools can look similar on the surface, and the one that includes processing can come out quite a bit lower once you add it all up.

Working out your own number

Here's the simple way I'd do it. Pull out your numbers from last summer, or your best guess for this one:

  • How many weeks or sessions you run
  • About how many kids register for each
  • What you charge per session or week
  • Whether you bill anything monthly, like an after-school program

Say your camp runs 8 weeks with about 40 kids a week at $150 each. That's 320 registrations and $48,000 collected over the summer. Now take any tool you're looking at and run it through:

  • Per-registration fee times 320
  • Plus card processing, if it's separate
  • Plus the subscription for the year
  • Plus any setup fee in the first year

That total is your real yearly cost. Then compare it to what you spend now. Paper and checks aren't free either. There's the bank trips, the time spent matching checks to names, and whatever you pay for a website or online form tool today.

If you'd rather not do the math by hand, our free registration cost calculator will compare your current setup side by side. It works whether or not you ever use Pathfinder.

Who pays the fee: you or the family

One question that changes the math a lot is whether the camp covers the per-registration fee or passes it to families.

If the camp covers it, families pay exactly the price you list, and the fee comes out of what you receive. If you pass it through, the fee shows up as its own line at checkout and you keep the full price.

There's no wrong answer here. Some camps like the clean, simple price. Others would rather keep every dollar for staff, supplies, and field trips. I'd just make sure the software lets you choose, and that you know which way you've set it before registration opens.

Costs that don't show up on the price page

A few things are worth thinking about that won't be on anyone's pricing chart:

  • Your time. If a tool saves your registrar a few evenings of data entry and phone calls, that matters, especially if they're volunteering.
  • The website. Some camps pay separately for a website, a form builder, and a waiver service. If one tool covers all of those, you can drop the others.
  • Waivers and medical info. Collecting allergies and signed waivers on paper works, but it's one more stack to keep track of. Having it all tied to each registration is easier when a counselor needs it quickly.
  • Refunds. Kids get sick and plans change. Check how refunds work and whether the fee is returned.
  • Leaving later. It's good to know you can cancel on your own and download your data if you ever move on.

Questions I'd ask before picking one

  • Is card processing included, or is it extra?
  • Is the subscription flat, or does it go up with more sessions or staff?
  • Can we choose whether we or the family covers the fee?
  • Can we bill weekly sessions and monthly programs in the same place?
  • Is there a setup fee, and what does it actually include?
  • Can we cancel without a phone call?

If a company can answer those plainly, you'll have what you need to compare.

How Pathfinder prices it

Since you're reading this on our blog, here's how we handle it, in plain numbers.

Pathfinder is $599 a year, flat. That covers unlimited seasons, programs, and sessions, plus digital waivers, the website, and every staff role. There's a one-time $299 onboarding fee with your first subscription, which pays for one of our reps to help you connect your domain (your website address), set up your Stripe account for payments, and build your first season.

For one-time payments, like a camp week or session, the fee is 3.5% + $0.75 per transaction, and card processing is included in that. There's no separate processing charge on top. You choose from your Billing page whether to absorb it or pass it through. On a $150 camp week, if you absorb it, the family pays $150.00 and you net $144.00. If you pass it through, the family pays $156.00 and you net $150.00.

Using the example above, 320 registrations at $150 absorbed would come to $1,920 in fees for the summer, plus the subscription. Passed through, the families cover that part instead.

If you also run a monthly program, like after-school care, that's billed at a flat 5% of each monthly charge, always absorbed by the camp, so families pay exactly the listed monthly price.

You can set up your organization and build your sessions for free and look around before you pay anything. The full breakdown is on our pricing page.

Whatever you land on, run your own numbers first. Once you see the total for your camp, the right choice usually gets a lot clearer.
