How Long Does It Take to Get Set Up on Pathfinder?

The honest answer is that it depends less on the software and more on how ready your organization's information is. Creating an account and your organization takes a couple of minutes. Getting to a working site that's ready to take registrations and payments depends on a few things only your board can pull together, like your bank details, your tax ID, your waiver wording, and your program fees.

I can't give you a fixed number of hours or days, because every league, studio, and camp starts from a different place. What I can do is walk you through what's involved so you can see where your own time will go.

What setup actually involves

There are three basic steps to get going, and then the work of building out your first season.

  • Create an account. Email and password (or Google sign-in where offered), then confirm your email. This is the couple-of-minutes part.
  • Set up your organization. Enter your organization's name. Whoever creates it becomes the Owner and lands on the dashboard. Logo, colors, and domain can wait until later.
  • Connect Stripe. Stripe is the company that processes card payments and sends money to your bank. From the Payments page you click Connect Stripe and go through Stripe's own sign-up questions.

After that, you build your first season and the programs inside it, add your waiver text, and decide whether to put the site on your own domain.

None of these steps are hard. The time goes into gathering answers, not clicking buttons.

Where the time usually goes

In my experience, the part that slows people down is waiting on information from someone else. A registrar can build programs in an evening, but if the treasurer has the bank login and the president has the EIN letter, things pause until everyone connects.

Here's what tends to take the most back-and-forth:

  • Stripe's questions. Stripe asks for your legal business details (business type and address), a tax ID (EIN) or Social Security number depending on how your organization is set up, identity details for one representative, and a bank account for payouts. If you step away and the link expires, the "Resume onboarding" button gives you a fresh one, so you don't lose your place.
  • Waiver wording. Pathfinder hosts and records your waiver, but the wording is yours. Most boards like to have their attorney or insurer look it over. If you're already using a paper waiver that's been reviewed, you may just be copying it in.
  • Your domain. A domain is your web address, like yourleague.org. If you want the site on it, someone needs access to the account where that domain was bought. Sometimes that's a former board member, and tracking them down takes a few phone calls.
  • Program details. Fees, age ranges, capacity, and registration open and close dates. If your board hasn't settled this season's fees yet, that decision comes first.

One thing that helps: registrations for paid programs are still recorded before Stripe is connected. You'd just collect payment from those families directly until Stripe is active. So if the bank details take longer, you're not stuck.

A short checklist to gather first

If you want setup to go smoothly, I'd pull these together before you sit down. A folder on your computer or a shared document works fine.

  • Your organization's legal name and address, the way the IRS or your state has it
  • Your EIN, or the Social Security number of the person Stripe will list, depending on your structure
  • The name, date of birth, and contact info of the one person who will be Stripe's representative
  • The bank account where you want registration money to land
  • Your logo file and your colors, if you have them
  • Login access to your domain account, if you want to use your own web address
  • Your waiver text, ideally already reviewed by your board or attorney
  • A list of programs for your first season, with fees, age ranges, capacity, and dates

The program list goes faster than people expect. Once one program is built, you can duplicate it with one click and change the age group or dates for the next one. The copy stays hidden from the public site until you edit it and turn it on.

How the onboarding help works

You don't have to do this alone. When you start your subscription, there's a one-time $299 onboarding fee, and it pays for a Pathfinder rep to help you launch. That rep helps connect your domain, set up your Stripe account, and build your first season and program, so you open with a working, ready-to-go site.

This matters most for the parts that feel unfamiliar, like domain settings or Stripe's questions. Pathfinder verifies your domain through DNS (the behind-the-scenes settings that point your web address to your site) and sets up the secure HTTPS connection automatically, but it helps to have someone walk through it with you the first time.

It's also worth knowing that you can explore before you pay anything. Creating an organization, setting up your branding, and building seasons and programs costs nothing. Nothing is charged until you start the subscription from the Billing page. So you can build at your own pace, see how it fits, and bring in the onboarding help when you're ready to launch.

The full cost breakdown is on the pricing page if your treasurer wants to look it over.

Where I'd start

If you're a volunteer squeezing this in after work, I'd break it into small pieces instead of trying to finish it in one sitting.

  • First sitting: Create the account and organization, then click around the dashboard. Build one program to get a feel for it.
  • Second sitting: Send your treasurer or president the Stripe checklist above and ask for the pieces you don't have.
  • Third sitting: Add your waiver, logo, and the rest of your programs.
  • Launch: Connect Stripe and your domain with your onboarding rep, then open registration.

That pace fits around real life, and it keeps any one person from carrying the whole thing.

The getting started guide walks through each of these steps with more detail. And if you'd rather just talk it through, you can call or text (251) 273-1442 or email sales@pathfindersystems.org. We're happy to help you figure out what your own launch will look like.
